PENKETH GYMNASTICS CLUB
Terms & Conditions of Membership
These Terms & Conditions apply to all members of Penketh Gymnastics Club. By registering for classes, competitions, events or activities, you agree to these terms.
1. Registration & Membership
- All gymnasts must be registered on our LoveAdmin/JoinIn portal with full name, date of birth, medical information and two emergency contact numbers before attending any classes.
- Club Membership Fee
Club membership is charged per family. For 2026, the cost is £2 per month for recreational families or £3 per month for full members.
Full members are families with one or more gymnast in a squad.
Families may choose to pay the club membership annually instead of monthly:- £20 per year (recreational families)
- £30 per year (full members)
- All membership payments must be kept up to date. Any member who is not fully compliant with membership fees will be considered a lapsed member and unable to participate in any gymnastics activity until reinstated.
2. British Gymnastics Insurance
- It is the responsibility of the member/parent to ensure British Gymnastics membership is purchased and kept up to date via the BG website, selecting “Penketh Gymnastics Club”.
- “Penketh Gymnastics Club” must be listed as a named club on the member’s British Gymnastics account.
- British Gymnastics membership is required for all members, and no participation will be allowed without active membership.
3. Class Fees & Payments
- Monthly class fees are requested at the end of the prior month and collected by direct debit on the 1st of each month.
- All members must have an active direct debit/pre‑authorisation set up within LoveAdmin.
- Gymnasts will not be accepted into class if fees have not been paid.
- Any fees not paid by the 6th of the month may incur a £10 late charge.
- Fees are reviewed annually by Penketh Gymnastics Club and its Committee.
- Sessions run throughout the year and monthly fees cover 48 sessions annually.
4. Non‑Attendance & Class Swaps
- Due to strict coach:gymnast ratios, missed classes cannot be:
- Refunded
- Credited
- Moved to another date
- Swapped for another class
- Transferred to another gymnast
- No make‑up sessions are offered for classes missed due to holidays, sickness, injury or other personal reasons.
5. Cancelled Classes
- If Penketh Gymnastics must cancel a class for exceptional circumstances, communication will be sent via email and/or social media.
- If a cancellation occurs for reasons outside our control (e.g., extreme weather, venue issues, notifiable disease), refunds will not be issued.
6. Membership Cancellation
Membership is a rolling commitment.
To withdraw, email admin@penkethgymnastics.co.uk or info@penkethgymnastics.co.uk before the 20th of the month to avoid being charged for the following month.
7. Competitions, Events & Additional Activities
This section applies to all internal competitions, external competitions, displays, holiday clubs, workshops, masterclasses, camps, or any other bookable activity.
7.1 Non‑Refundable Payments
All payments for competitions, displays, holiday clubs, workshops, masterclasses, training camps or any other events are strictly non‑refundable.
This includes non‑attendance for reasons such as illness, injury, holidays or personal circumstances.
7.2 External Competition Fees Paid to Third Parties
Where Penketh Gymnastics collects fees to pay external organisers (e.g., British Gymnastics, NWGA, other clubs), parents agree that these fees are non‑refundable in all circumstances, as they are passed on directly.
7.3 Competition Entry by Invitation
Entry to external competitions is by invitation only.
Coaches may withdraw a gymnast if, in their professional judgement, the gymnast is not sufficiently prepared, is unsafe, or has not met attendance or training expectations.
No refunds or credits will be issued.
If questioned, decisions may be reviewed by the Head Coach, whose decision will be final.
7.4 Eligibility Requirements
Participation is dependent upon:
- Meeting expected training and attendance standards
- Demonstrating appropriate behaviour
- Adhering to the Code of Conduct; Gymnasts and Parents
- Complying with all instructions from coaching staff
The club reserves the right to remove a gymnast from an activity without refund if these conditions are not met.
7.5 No Transfers or Credits
Payments for competitions or events cannot be transferred to another person, another date or another programme.
7.6 Changes or Cancellations
If the club cancels an internal event, we will offer either a rescheduled date or club credit.
For external events, the host organisation’s policies apply.
8. Photo & Media Permissions
- Penketh Gymnastics Club may take photographs or video for:
- Coaching and training purposes
- Club media, social media, website and promotional material
- Event coverage (e.g., competitions, displays)
- External photography providers (e.g., DE Photos at competitions) may also take images.
- Parents are responsible for ensuring their child’s photo permissions are correctly updated on LoveAdmin/JoinIn.
- The club follows the British Gymnastics Photography Policy for all image handling.
- Withdrawal of consent must be submitted in writing to the club. The club may not be able to remove images already shared publicly before consent was withdrawn.
9. Force Majeure
The club is not liable for any failure to deliver classes, events or activities due to circumstances beyond our reasonable control, including but not limited to:
- Extreme weather
- Venue closures
- Power or utility failure
- Public health restrictions
- Staff illness where cover cannot be arranged
- Third‑party cancellations (e.g., British Gymnastics, NWGA competitions)
In such circumstances:
- Internal activities will be rescheduled or club credit offered where possible
- External activities will follow the external organiser’s policies
- Refunds will not be issued unless required by law
10. What to Wear
- Gymnasts must be dressed appropriately and should wear either a leotard (preferred) or a tucked‑in T‑shirt with shorts/leggings.
- Clothing must not have buttons, zips, buckles, or expose the midriff.
- Club leotards are not compulsory but can be purchased in the gym. Additional clubwear is available at: https://bit.ly/PenkethGymnasticsShop.
- Penketh Gymnastics operates a zero‑tolerance jewellery policy in line with British Gymnastics.
- All jewellery must be removed.
- New piercings must be covered with microporous tape during the 6‑week healing period.
- Tape must be applied before class; staff cannot apply it and the club will not provide it.
- After 6 weeks, earrings must be removed.
- The club accepts no responsibility for accidents related to jewellery.
- Long hair must be secured away from the face, with fringes clipped back.
- Gymnasts must be barefoot. Verrucas must be covered with microporous tape or a plaster. Socks are not permitted.
- Personal items must be left with parents or in designated areas. The club is not responsible for lost or stolen items.
11. Arrival & Pick‑Up
- Please arrive 5 minutes before class.
- Gymnasts should remove shoes, socks and outside clothing after entering.
- Coaches are available briefly before sessions for essential updates such as medical changes or additional needs.
- Parents are encouraged to stay for the first five minutes to help settle their child, and return for the last five minutes to observe progress.
- A Parents/Carers Room is available upstairs for those wishing to stay on site.
- If your child requires additional support when transitioning into class, please speak to a member of the coaching team in advance.
- The club assumes responsibility for gymnasts only from the time they are invited into the gym until they leave with a parent/carer.
- If running late, please inform the club. Children must wait inside the building until collected.
- Please drive carefully in the car park, especially at busy times.
12. Toilet Trips
- Please ensure children use the toilet before class.
- If needed during the session, gymnasts will use the toilet inside the gymnasium.
13. Special Needs, Illnesses & Medical Needs
- Parents must disclose any medical, physical or additional needs during registration on LoveAdmin.
- Any new conditions must be reported verbally to coaches before further participation and updated on LoveAdmin.
- The club may move gymnasts into classes deemed more appropriate for their individual needs.
14. Acceptance of Terms
By registering your child with Penketh Gymnastics Club, you agree to comply with all Terms & Conditions and all club policies including Codes of Conduct.
